Bespoke CRM

Sample

A business's own records, such as clients, sites, jobs and quotes, are modelled and linked, the CRM's screens are built on them, an API connects the website and the accounting system, and the job moves through the business's own stages.

  1. Your records modelled
  2. Screens built around them
  3. API links site and accounting
  4. Fits how you sell

Overview

What is custom CRM development?

Custom CRM development is designing and building a customer relationship management system around one business's pipeline, data and rules, instead of adapting a vendor's template. It makes sense when off-the-shelf CRMs force workarounds, charge per seat for people who barely use them, or can't model how you work. Noorscale builds custom CRMs as secure web apps on Next.js and PostgreSQL, with role-based access, automation, integrations and reporting. You own the code and the data.

See it in action

What does a custom CRM build look like when it's working?

When a custom CRM build is working, you see four changes: a CRM built around your process, grow without per-seat fees, hours of workarounds removed, and code and data you own. The live sample below is built with illustrative data. Your version runs on your own accounts and your numbers.

Sound familiar?

What problems does a custom CRM build solve?

A custom CRM build solves three common problems: “We've bent three CRMs to fit and still use spreadsheets”, “Per-seat pricing punishes us for growing”, and “Our records don't fit contacts, companies and deals”. Each one has a fix.

The problem

  • “We've bent three CRMs to fit and still use spreadsheets”Every platform needed workarounds, so the real status of each job lives in a sheet only two people understand.
  • “Per-seat pricing punishes us for growing”Field teams, partners and part-time staff all need access, and every new seat adds to a bill for features nobody uses.
  • “Our records don't fit contacts, companies and deals”Projects, sites, assets, properties or multi-party deals don't map cleanly onto a standard CRM, so data ends up in notes fields.

What changes

  • A CRM built around your processYour stages, records and approvals are built in, so the team stops working around the software.
  • Grow without per-seat feesAdd field staff, partners and part-timers without a bigger license bill every month.
  • Hours of workarounds removedSpreadsheets, double entry and manual status updates are replaced by one system with automation.
  • Code and data you ownYour CRM lives in your accounts, so you're never tied to a vendor's roadmap or price rises.

Compare your options

Off-the-shelf CRM, a customized platform or a custom build?

Each option suits a different situation: off-the-shelf CRM (your process is standard), customized platform (mostly standard, a few gaps) and custom CRM by Noorscale (every platform needs workarounds). Here's how they compare on the points buyers ask about most.

What's included

What does a custom CRM build include?

A custom CRM build includes six deliverables: process and data model design; clickable prototype; the CRM web app; automation and integrations; reports and exports; and handover, hosting and support. Each one is working material your team can use, not a slide deck.

Scope · Custom CRM Development6 deliverables

  1. 01

    Process and data model design

Your records, stages, approvals and permissions mapped before any code is written, and signed off by the people who'll use it.

  2. 02

    Clickable prototype

Key screens tested with real users in the first weeks, while changes are still cheap.

  3. 03

    The CRM web app

Pipelines, records, tasks, search, imports and role-based access, built on Next.js, TypeScript and PostgreSQL.

  4. 04

    Automation and integrations

Email, calendar, phone, forms, billing and accounting connected, with automations for routing, reminders and status changes.

  5. 05

    Reports and exports

Dashboards for pipeline and team performance, plus exports, so your data is never trapped.

  6. 06

    Handover, hosting and support

Code in your repository, hosting in your account, full documentation and an optional care plan.

Process

How long does a custom CRM build take?

The work runs in four steps, starting in weeks 1–3 and finishing in weeks 10–12. Every step ends with something you can use, so you always know what's landed and what comes next.

Time to first results: First release in 8–12 weeks

  1. Step 01Weeks 1–3

    Discovery and design

We shadow the team, map every record and stage, and design the data model and key screens.

You get: Signed-off data model and key screens

  2. Step 02Weeks 3–5

    Prototype and test

A clickable prototype goes in front of real users, and we change it based on what they actually do.

You get: Prototype revised after real user testing

  3. Step 03Weeks 5–10

    Build in releases

Working software every two weeks, with your team testing each release on real data.

You get: Working software every two weeks

  4. Step 04Weeks 10–12

    Migrate, launch and support

Data migrated, users trained and the CRM launched, with fixes and improvements covered by a care plan.

You get: Live CRM with code and docs in your accounts

Reporting

How will you know a custom CRM build is working?

You'll know a custom CRM build is working from four measures on a live dashboard: adoption by role, time per core task, data completeness and software cost per user. You also get a written review every month: leading indicators first, then the numbers your finance team cares about.

Monthly reportSample

Adoption by roleHigher is better

Active users and records updated per role, week by week after launch.

Time per core taskLower is better

Minutes to complete key tasks, such as creating a quote or moving a job forward, against the old process.

Data completenessHigher is better

Share of records with required fields and a current status.

Software cost per userLower is better

Total running cost of the CRM per active user, compared with the platforms it replaced.

FAQ

Questions about Custom CRM Development

Something else on your mind? Email grow@noorscale.com and a person will reply within one business day.

How much does a custom CRM cost?

It's a fixed-price project, priced by the number of record types, workflows, integrations and user roles. We often start with a smaller first release and add features once the team is using it. Hosting is paid directly to the provider, with no per-seat license on top. You'll get a written scope after a free call.

When is a custom CRM better than HubSpot or Salesforce?

When your records and process don't fit a standard CRM, when per-seat fees grow faster than the value, or when the CRM needs to live inside your own product. If a platform fits with light configuration, we'll recommend the platform instead, because it's faster and cheaper.

Who owns the code and the data?

You do. The code lives in your repository, the app runs in your hosting account and the database is yours. There's no license fee to us and no lock-in.

How long does it take to build a custom CRM?

A first release usually takes 8–12 weeks, covering the core records, pipeline, permissions and key integrations. We then ship improvements in short releases based on how the team uses it.

Can you move our data from our current CRM?

Yes, we map, clean and deduplicate your existing records, test the import and plan the cutover so your team keeps working. History and attachments come across wherever the old system lets us export them.

Is a custom CRM secure?

Yes, when it's built properly. We use proven authentication, role-based access, encryption in transit and at rest, audit logs and automated backups. Access rules are tested like any other feature before launch.

What happens after launch?

You can maintain it with your own developers using our documentation, or keep us on a care plan for fixes, updates and new features. Either way, the code is yours.

Can a custom CRM include AI features?

Yes, such as call and email summaries on each record, lead research, document extraction and an assistant that answers questions about your pipeline. We build them with the same permission rules as the rest of the CRM, so AI only sees what the user can see.

Can it connect to the tools we already use?

Yes, through APIs and webhooks. Common connections include email, calendars, phone systems, forms, billing, accounting and your data warehouse.
